Before you begin

Create a handover template with the customer's request, confirmed facts, open questions and promised next step. Separate a customer's requested date from a delivery date the business has actually confirmed. Test the summary with the person receiving it. Make the open questions explicit

Check the receiving person’s experience

Keep background information separate from decisions and link to the original messages.

Keep ownership unambiguous

Name the person or team responsible for the next response and record whether they accepted the handover. Until then, the original owner should know the request is still pending.
